AI agents for clinics and medical practices: bookings, reminders and patient questions
Phones ringing non-stop, unanswered WhatsApp messages, forgotten appointments: an AI agent can relieve a clinic's front desk. Provided it follows strict rules.

At a clinic or medical practice, the front desk is overwhelmed: calls to book or move appointments, questions about hours, fees, documents to bring, exam preparation, and dozens of WhatsApp messages piling up by evening. An AI agent can handle much of this repetitive work on WhatsApp and your website, around the clock. But healthcare is not like other sectors: the agent must stay strictly administrative and protect sensitive data. This guide covers what it can do, what it must never do, and how to deploy it. The examples come from Morocco, and the principles apply anywhere.
What an AI agent can do for a clinic
- Book, move and cancel appointments using the practitioner's or department's real calendar.
- Send reminders before the appointment, with one-message confirmation or cancellation to free up slots.
- Answer practical questions: hours, address, access, specialties, practitioners, documents to bring, exam preparation as defined by the clinic.
- Explain fees and payment terms, using information validated by the clinic.
- Route patients to the right department or practitioner based on the administrative reason.
- Hand off to a human anything outside its scope, with a summary of the conversation.
- Reply in French, Arabic and Darija for Moroccan patients, see WhatsApp chatbot in Darija.
What it must never do
- Diagnose, or interpret symptoms or test results.
- Recommend a treatment or medication, or change a dosage.
- Handle an emergency: any mention of urgency triggers a clear message pointing to emergency numbers and the on-call team, with no attempt at assessment.
- Ask for more data than needed: name, phone number and the administrative reason for the visit are usually enough.
Health data: the rules
Health information is sensitive data. In Morocco, Law 09-08 governs its processing under the oversight of the CNDP, and medical confidentiality applies; elsewhere, laws such as GDPR or HIPAA play the same role. In practice, for an AI agent:
- Minimise: the agent does not need the medical record to manage an appointment.
- Control vendors: the AI model is used through a business plan that excludes training on your data, with controlled hosting and processing agreements.
- Limit access: the agent reads the calendar and practical information only, never the patient records system.
- Set retention: a defined retention period for conversations, then deletion.
- Inform patients that they are talking to an automated assistant, and how to reach a person.
- Check formalities with the data protection authority and your adviser before going live.

WhatsApp: app or API?
An AI agent should not be plugged into the standard WhatsApp Business app: unauthorised automation leads to restrictions and bans (see WhatsApp Business banned). The compliant route is the WhatsApp Business Platform (the official API). It requires approved message templates to contact a patient outside a recent conversation, which suits appointment reminders well.
Deployment, step by step
- Map the requests received over two weeks: types, volumes, times, channels.
- Write the knowledge base, approved by medical management: hours, practitioners, preparations, fees, documents.
- Connect the calendar from the booking software, with limited permissions.
- Write the rules: scope, refusals, emergencies, human handoff.
- Test with hundreds of real, anonymised messages in every language your patients use.
- Start in assisted mode: the agent drafts, the front desk approves, then expand gradually.
- Review monthly: requests handled, handoffs, reported errors, satisfaction.
This is the method we describe in shipping an AI agent to production.
What you can measure
- Share of requests handled without the front desk.
- Change in missed appointments, before and after reminders.
- Response time to messages, especially evenings and weekends.
- Time freed up for patients at the desk.
Measure these on your own clinic before and after deployment: figures published by vendors vary widely and depend on context.
The clinic's website matters too
The agent works best when your site clearly presents specialties, practitioners, access and a booking link. An up-to-date Google Business Profile also brings patients. See ranking on Google Maps.
We design your agent
Our AI agents service covers design, connection to your calendar and to WhatsApp through the official API, healthcare-specific safeguards and monthly care. Tell us about your clinic and we will start by analysing your real requests.
Frequently asked questions
Can an AI agent give medical advice?
No. It must stay strictly administrative: bookings, reminders and practical information validated by the clinic. Any medical question or emergency is passed to the care team or emergency numbers.
Is patient data protected?
It must be, under the applicable law (Law 09-08 in Morocco, GDPR or HIPAA elsewhere): minimal data, business AI plans with no training on your data, limited access, defined retention and informed patients.
Can the agent work on WhatsApp?
Yes, through the WhatsApp Business Platform (the official API). Automating the standard WhatsApp Business app breaks WhatsApp's rules and risks a ban.
Does the agent understand Darija?
It can be designed to understand French, Arabic and Darija, including Darija written in Latin letters, provided it is tested on real messages from your patients.
